How to use Quick Fix for workflow issues in SAP SuccessFactors Check Tool?

Answer: 

  1. Go to Admin Center > Manage Permission Roles.
  2. Grant Check Tool > Allow Check Tool Quick Fix.
  3. Run the workflow-related Check Tool checks.
  4. Click Quick Fix in the Result column.
  5. Select the default correction in Step 2.
  6. Approve the change in Step 3.
  7. Close the window and refresh the check results.
  8. Review History to compare Before Fix and After Fix events.

Note: 

Quick Fix is available for specific Workflow To-Do checks such as invalid status or missing workflow issues. Changes made through the final approval step cannot be reversed.

How to manage or modify an in-progress workflow in SAP SuccessFactors Employee Central?

Answer: 

  1. Log in as a user with Admin Tools access and Manage Workflow Requests permission.
  2. Go to Admin Center > Employee Files > Manage Workflow Requests.
  3. Search for the workflow request that needs changes.
  4. Open the Take Action menu for the workflow.
  5. Use Lock Down or Unlock if the workflow must be paused or made available again.
  6. Use Add Another Approver, Change Approvers, or Remove Approvers when the approval chain must be changed.
  7. Use Route Request to move the workflow to another step.
  8. Use Decline if the request is no longer valid.
  9. Use Change Initiator forsent-back workflows when another initiator must withdraw or resubmit the request.

Note: 

Locking or unlocking a workflow can generate workflow emails to participants. A locked workflow is hidden from participants’ Pending Requests and To-Do List pages.

How does Redirect CC Users to Workflow Approval Page work in SAP SuccessFactors?

Answer: 

  1. Open the workflow configuration in Employee Central.
  2. Locatethe Redirect CC Users To Workflow Approval Page setting. 
  3. Set the field to Yes if CC users should open the workflow approval detail page.
  4. Set the field to No if CC users should be redirected to the subject object page for foundation objects.
  5. For other subject data types, use No to redirect CC users to the People Profile page of the subject user.
  6. If event reasons are used, verify that the CC role has permission to the event reason used in the workflow.

Note: 

Changes to this setting apply to existing workflow links as well as newly triggered workflows. 

How to fix approval errors for HRIS workflows containing MDF data in SAP SuccessFactors?

Answer: 

  1. Check whether the workflowcontainsMDF data created by a cross-entity rule in an HRIS element such as Job Information. 
  2. Review the MDF object configuration.
  3. Confirm whether Effective Dating is set to Basic.
  4. Deletethe MDF data before initiating the workflow, if that is the chosen correction method. 
  5. Alternatively, go toConfigureObject Definition for the MDF object. 
  6. Change Effective Dating from Basic to Multiple Changes Per Day.
  7. Re-initiate or continue the workflow after correcting the MDF object setup.

Note: 

The error is caused by the MDF object’s Effective Dating setting. The KBA identifies two correction methods: deleting MDF data before workflow initiation or changing Effective Dating to Multiple Changes Per Day.

How does Respect Permission affect workflow details in SAP SuccessFactors?

Answer: 

  1. Open the workflow configuration.
  2. Review the Respect Permission setting for approver, contributor, or CC role steps.
  3. Set Respect Permission to Yes if participants should only see fields allowed by their role-based permissions.
  4. Set Respect Permission to No if participants should see all workflow fields regardless of role-based permissions.
  5. For MDF objects, activate field-level overrides in RBP for fields that must be hidden.
  6. Re-trigger the workflow after changing thesettingso the new behavior applies. 

Note: 

Changing Respect Permission does not affect workflow details that were already triggered. The banner shown when permissions restrict workflow content is hardcoded and cannot be removed.

How to create a workflow in SAP SuccessFactors Employee Central?

Answer: 

  1. Go to Admin Center > Manage Organization, Pay and Job Structures.
  2. Select Create New > Workflow.
  3. Enter a Workflow ID of up to 32 characters.
  4. Enter a Workflow Name of up to 32 characters.
  5. Add the approver steps.
  6. Select the approver type for each step.
  7. Complete the related fields, such as context, delegation, reminders, and edit transaction behavior.
  8. Click Save.

Note: 

Context controls how approvers are resolved. Source uses the current database value, while Target uses the proposed value after the workflow transaction is approved. 

How to fix workflow email notification language issues in SAP SuccessFactors?

Answer: 

  1. Identifythe affected email notification. 
  2. Search for the email subject in Email Notification Templates Settings.
  3. Go to Admin Center > Email Notification Templates Settings.
  4. Open the affected template.
  5. Switch to the user’s local language.
  6. Check whether the selected language shows a warning that no template has been created.
  7. Save the template in that language, with or without edits.
  8. Repeat for all required templates and languages.

Note: 

If a localized template has not been saved, the system uses English US. English US is an exception and can be available even when the warning appears. 

How to handle workflow approvals in Joule for Concurrent Employment?

Answer: 

  1. Confirm whether the workflow request is assigned to the user’s concurrent employment.
  2. Test whether Joule offers approval for the concurrent employment workflow.
  3. Compare with a workflow assigned to the user’s primary employment.
  4. Treat missing concurrent employment approval in Joule asa productlimitation. 
  5. Use the SuccessFactors Influence portal if this capability isrequiredfor the business process. 

Note: 

Joule currently operates in the primary employment context only and does not support Global Assignment or Concurrent Employment workflow approvals. 

How to report on workflow approvals using Integration Center in SAP SuccessFactors?

Answer: 

  1. Open Integration Center.
  2. Create a new outbound integration.
  3. SelectWfRequestor WfRequestStep as the source entity. 
  4. Go to the Fields section.
  5. Select the workflow fieldsrequiredfor audit or reporting needs. 
  6. Rearrange, add, or remove columns as needed.
  7. Save and run the integration.
  8. Validate the extract to confirm that workflow approval data is included. 

Note: 

Workflow approval details are available through Integration Center entities such as WfRequest and WfRequestStep. 

Can SAP SuccessFactors consolidate workflow email notifications?

Answer: 

  1. Review whether the notification is an Employee Central workflow email notification.
  2. Confirm whether the business requirement is to combine multiple workflow emails into oneconsolidatednotification. 
  3. Treatconsolidatedworkflow email notifications as unsupported. 
  4. Review supportedconsolidatednotification types for document notifications only. 
  5. Monitor release guidance for future updates.

Note: 

The KBA states that consolidated email notifications are not supported for workflow email notifications. Supported consolidation is limited to listed document notification types. 

How to find request types in Manage Workflow Requests?

Answer: 

  1. Open Manage Workflow Requests.
  2. Review the Request Type dropdown.
  3. Refer to theRequestsTypes for Workflow Requests section in the Employee Central workflow handbook for the full current list. 
  4. Use the documented requesttypelabels when reviewing or filtering workflow requests. 
  5. If request type values are missing or generic, compare the behavior with the related work flow request guidance. 

Note: 

The request types are hardcoded. The KBA points users to the workflow handbook for the full up-to-date list.

How to prevent workflow email notifications in SAP SuccessFactors?

Answer: 

  1. Use Manage Email Notifications to enable Single Recipient Email if all notifications should go to one address.
  2. If the tool is unavailable, grant Manage Email Notifications permission in Manage Permission Roles.
  3. For workflow notifications only, go to Admin Center > Company System and Logo Settings.
  4. Uncheck Restrict emailnotificationpreference settings to administrators only. 
  5. Add email addresses for users who should receive notifications.
  6. Alternatively, untick Email Notification in Change Email Notification Setting for all emails.
  7. Allow end users to manage their notification choices if the company-wide setting permits it. 

Note: 

Workflow notifications are enabled by default and cannot be removed or unticked directly in E-Mail Notification Templates Settings.

Why do some workflows show Send Back while others show Decline in SAP SuccessFactors?

Answer: 

  1. Identify whether the workflow is for a non-generic object or a generic object. 
  2. For non-generic object workflows, expect the Send Back button to appear.
  3. For generic object workflows, check the Pending Data flag.
  4. If Pending Data is Yes, expect Send Back.
  5. If Pending Data is No, expect Decline.
  6. If a non-generic object workflow must be declined, use Manage Workflow Requests and choose Decline from the Take Action dropdown. 

Note: 

This is expected system behavior. Non-generic object workflows always show Send Back and cannot be changed to Decline on the workflow details page.

How to trigger workflows during Employee Central import?

Answer: 

  1. Use Incremental Load mode for the import.
  2. Ensure the imported record inserts a new time slice in Job History.
  3. Avoid relying on Full Purge mode for workflow triggering.
  4. Configure workflows for supported entities such as Job Information, Termination Details, or Non-Recurring Pay Component.
  5. For termination of a user on global assignment, note that the system uses the End Global Assignment workflow.
  6. Validate whether each imported record triggers the expected workflow. 

Note: 

Workflows are not supported on Compensation Information or Pay Component Recurring imports. Full Purge import mode does not trigger workflows.

Why does the workflow initiator not receive a custom email notification?

Answer: 

  1. Review the workflow approval steps.
  2. Check whether custom email notifications are configured for the next step after the step being approved.
  3. If step 4 is approved, review the email configuration for step 5.
  4. Confirm whether the initiator is included as a receiver in the next step’s email configuration.
  5. Add or correct the missing custom email notification configuration on the next step.
  6. Test the workflow again.

Note: 

When step N is approved, the system sends email based on the configuration of step N+1. Final step approval respects the final step configuration.

Can a common user approve or reject workflows through OData API in SAP SuccessFactors?

Answer: 

  1. Review the workflow approval orrejectionAPI call being used. 
  2. Confirm whether the logon user is the assigned approver.
  3. Do not configure a common user ID to approve or reject workflows outside the assigned approver behavior.
  4. If multiple users needapprovalcapability, configure a dynamic group in the workflow. 
  5. Add the required users to the dynamic group.
  6. Allow any user in the group to approve the workflow based on the workflow configuration.

Note:

The KBA states that a common user ID cannot be maintained for approval or rejection apart from the assigned approver. Dynamic groups are the suggested alternative. 

How to use Manage Alerts and Notifications in SAP SuccessFactors Employee Central?

Answer: 

  1. Grant the Manage Alerts and Notifications permission under Administrator Permissions > Manage Workflows.
  2. Open Manage Alerts and Notifications.
  3. Use Alert Type and Entity Type asrequiredsearch filters. 
  4. Add optional filters if needed.
  5. Review pending Employee Central alerts and To-Dos.
  6. Deletean individual pending alert or To-Do using its Delete button. 
  7. For mass deletion, select the checkboxes for the alerts or To-Dos.
  8. Confirm the deletion prompt.

Note: 

The pending alert To-Do is the triggered alert that appears in the recipient’s To-Do list and has not yet been marked Done. 

Why are old EC alerts still sent after a saveAlert rule is changed?

Answer: 

  1. Review whether the alert was already created by a previous EC Alerts and Notifications job. 
  2. Change thesaveAlertrule as needed. 
  3. Run an EC Alerts and Notifications job after changing the rule.
  4. Use a specific Run From date when running the one-time job.
  5. Use a reasonable date range, such as one month back, to avoid processing too many records.
  6. Review the job results after completion.
  7. Confirm whether old pending alerts were removed and new alerts were created based on the current rule logic. 

Note: 

Previously created alerts are not automatically rechecked when a save Alert rule is changed or removed. Pending alerts can still be sent unless the alert job is run again to rescan the records.

What tags are supported for Time Off workflow notifications in SAP SuccessFactors?

Answer: 

  1. Configure the Time Off workflow notification.
  2. Open the alert or notification message.
  3. Use`[[SUBJECT_USER]]`for the subject user. 
  4. Use `[[START_DATE]]`for the Time Off start date.
  5. Use `[[END_DATE]]`for the Time Off end date.
  6. Use `[[TIME_OFF_TYPE]]`for the Time Off type.
  7. Use `[[TIME_OFF_STATUS]]`for the Time Off status.
  8. Save and test the notification.

Note: 

Tags must be added with double brackets. The KBA identifies these additional tags as Time Off-specific.

How to locate a triggered workflow ID in SAP SuccessFactors Employee Central?

Answer: 

  1. Open the workflow details page in SAP SuccessFactors Employee Central.
  2. Locatethe workflow request ID in the browser URL. 
  3. Open the Data Inspector tool.
  4. Find the `Table_EMP_WF_REQUEST` table.
  5. Use the workflow request ID to find the workflow configuration code.
  6. Open the `Table_FO_WF_CONFIG` table.
  7. Use the workflow configuration code as the internal ID to find the workflow code.

Note: 

The workflow request ID from the workflow details page URL is the starting point for locating the workflow configuration code. 

Conclusion
